Vehicle licensing

5. Private Hire Vehicle Renewal Application

This 7 stage process is intended for renewing Private Hire Vehicles. If your vehicle is not currently licensed with us, you must use the new application form. 

To renew your licence you will need a code that looks similar to this eg  NJT0LWMV0K890 (no code is required for an Interim Check). This code will have been sent by email at least 4 weeks before your vehicle licence expires. If you have not received this by email, or you have not provided us with an email address please call the licensing team on 01737 276672 and we will provide you with a code.

Stage 1) Read and understand our policy, conditions and regulations covering vehicle licensing

Information on vehicle standards, including age limits for vehicles, fees etc is available on the licensing webpages . We strongly advise all customers to read and understand the information relevant to the application before proceeding to renew a licence.

Note: Please refer to the conditions in the Council policy for relicensing vehicles over 7 years old.

Stage 2) Check you have the required information, documents and means of making payment before starting your application

You will need the code, vehicle registration and insurance document to complete the application form. Payment must be made online using a credit or debit card (make sure you have the permission of the card holder).

Stage 3) Apply to renew a Private Hire Vehicle Licence and sending us the required documents

You will make your online application and payment to us via a webform hosted by a company called Idox.

Private Hire Vehicle Licence Renewal Application

After you have completed the application form, you must send  a scanned copy of the insurance document to [email protected] with the word RENEW and your car registration in the subject title.

Stage 4) Receipt of confirmation email regarding documents submitted

On receipt of your documents, we will send you an email which will tell you which documents are incomplete/missing or alternatively that everything is satisfactory, and you may proceed to stage 5.

Stage 5) Book and Pay for an appointment at our depot

This stage should only be started once you have received a confirmation email that your documents have been satisfactorily submitted. The email will contain a licence reference number which you can quote in your booking. If you attempt to have your vehicle inspected whilst any information is outstanding, we WILL NOT plate your vehicle and you will have to make a further appointment to return.

Stage 6) Attend your appointment at our depot adhere to the current COVID precautions on site

You should not attend you MOT/inspection if you or any members of your household have any symptoms or have received a positive test for Covid 19

The vehicle will be checked and tested at Earlswood Depot, Horley Rd, Redhill RH1 6PN. 

Important Information Depot Vehicle Appointments

Instructions to depot visitors during the coronavirus outbreak

  • Only 1 person to attend per vehicle (no family, friends, children or pets)
  • Face mask must always be worn whilst on site
  • Customer to park in the marked MOT bay and leave keys in the vehicle
  • All customers to sign in at MOT reception for the purposes of track and trace
  • Only one customer is allowed in the reception at a time
  • There will be no access to toilet facilities or tea/coffee/water

Make a note of the date and time of the appointment in your diary, and ensure you arrive in plenty of time for your appointment. If you miss your appointment start time you will not be entitled for a refund and will need to rebook another appointment.

The vehicle must be in immaculate condition inside and out and must have:

  • A secure spare wheel (space savers are ok). Run flat tyres/foam/air pump are NOT accepted. 
  • A fire extinguisher Note: 1kg dry powder.
  • A first aid kit.
  • No smoking stickers.

If any of those items are missing or the vehicle does not meet the required standard, it will NOT BE LICENSED and a fee will be payable when you make another appointment to attend a further inspection.

Please note MOT retests should be booked at the time of failure or via telephone as they cannot currently be booked online. Retests will only take place free of charge if booked to take place within 10 days of failure.

Stage 7) Become licensed

Following the successful completion of your vehicle checks your vehicle will be relicensed and plated at our Depot.
